Frequently Asked Questions
How early do I need to book?
- Live and hybrid events do tend to need a bit more planning time, so your best bet is to confirm your event a minimum of 6 weeks prior to your event date.
- Final guest counts and details will need to be locked in 2 weeks prior to the event date to avoid any glassware or other rush delivery fees.
- The earlier you can confirm the earlier we can book our travel, when needed, to help keep total costs down as well!
- If a specific date/time or product is required, we recommend signing your agreement with The Crafty Cask as early as possible to ensure another client doesn’t grab your spot.
What does each event include?
While every event is different, our standard offering for live events typically include:
- Facilitation of all alcohol ordering (through your venue, which is usually required if they have their own liquor license).
- Glassware and equipment rental (or purchase in some instances) and delivery.
- Educational materials for interactive guest experiences.
- 60-90 minute event hosting by a trained, certified craft alcohol professional
- Customizations as needed for a fee: barware, branded glassware or bartenders kits for takehome gifts, themes including your host dressing up and playing the part, etc…
- Day of set-up and breakdown of all guest craft alcohol stations or coordination with your venue to set-up/break down.
How do hybrid events work?
Have a local and remote guests you want to include? Or hosting an event at a hybrid conference and want to include live and remote attendees? Not a problem! For our hybrid event we can do this two ways:
1. Send two hosts to your live location with one focused on your guests in the room while the other is engaging the remote attendees online.
2. Host your event remotely with your craft alcohol expert streaming in from afar with some of your guests doing the same and other guests all gathered together in one location with a large screen and audio for them to see and hear the host to follow along.
From a technology standpoint, we can also bring along a “bar cam” so remote guests can get up close and personal with our live host (wherever they are!) and see their hands shakin’ and stirrin’ with the cocktail making techniques shown up close during mixology classes. For tasting events when our hosts are live at your venue, our secondary host can float the room with a camera so the remote guests can “peek in” on the live guests in action as well.
If your venue has the A/V setup required, we can also stream the remote attendees up on a screen in the room so the live event guests are seeing the remote guests as well for a fully inclusive event.
While we know this can seem overwhelming, trust that you have experienced professionals on your side with The Crafty Cask. Book a call with our founder to talk thorugh the best approach today!
What kind of budget are we talking?
- Event planning & hosting fee: $20/person with a $1,500 minimum for live events
- Tasting kit costs (including glassware and educational materials) estimated at:
- $40-$75/person for wine
- $35-$50/person for cider, beer
- $40-$60/person for spirits
- $40-$60/person for cocktails
Can you provide a venue?
Unfortunately, we do not have any venues of our own. Since we host events all over the country we also do not have any recommendations for venues but are happy to work with the venue of your choosing.
*Please note, that venues with liquor licenses often require all alcohol to be sourced and served through them. We are happy to work with them on that, if needed.
Can the boozy fun act as a team building activity?
Sure! We love getting creative with our clients to make their event vision become a reality. So let us know what you have in mind and we’ll craft a custom event just for you. From wine tasting sensory competitions, to blind aroma identification, to blending workshops we have ideas that we would love to bring to life for your event!
Can I just hire you as a bartender for my event?
Our team is highly trained, not only as award winning bartenders and mixologists, but also as entertainers and educators. So, if all you are looking for is a mobile bartender for your event The Crafty Cask is not the right fit, but we hope you find a great bartender and have a wonderful event!
Can we add on other activities beyond booze?
While we may not have partners in your location, we can provide our expert advice on how to best adjust our event flow to acommodate any business presentations or activities you would like to include during the event. We are also happy to partner with other companies you choose to work with to ensure the event is seamless.
Do you have options for non-drinkers?
Yes, we have a couple of cocktail kits that lend themselves wonderfully to non-alcoholic versions and we also have some options for non-alcoholic craft cider and beer.
Can we add in our own materials, swag, food, or other items to the event?
Of course! If you need any assistance from us with your materials (i.e. we can source branded glassware, shakers, aprons, etc… with enough lead time) there is an added $395 labor and logistics cost for any additions or customizations.
Do you host virtual events?
We sure do! Head on over to our virtual events page to learn more or fill out the correct form for virtual events to get started.
